Terms & Conditions

A Few Essentials

Just the practical bits, from bookings and cancellations to lesson scheduling and programme use, so everything runs smoothly from poolside to payment.

By booking or attending swimming lessons with Swim Jar, you agree to the Terms & Conditions below, which form part of your booking agreement.

These terms may be updated where reasonably necessary. Any relevant changes will be communicated and will not retrospectively alter an existing paid booking unless otherwise agreed or required by law.

Booking

Swim Jar lessons run year-round, with availability arranged around coaching schedules, pool availability and published school term dates.

All lessons and programmes must be booked in advance and are subject to availability.

When your child joins Swim Jar, lesson details, including dates, times and venue, will be agreed in advance.

All booking communication will be sent to the person named on the booking confirmation. Please let us know if your contact details change.

Lessons are confirmed once the booking arrangements have been agreed and payment has been received.

New Swimmers

Every child arrives with different water experience, confidence and movement skills.

When joining Swim Jar, the most suitable lesson structure will be agreed based on your child's current swimming ability and learning needs.

Any programme booked will be subject to its standard pricing, validity period and lesson continuity requirements.

Lesson Duration

All Swim Jar lessons are 45 minutes unless otherwise agreed in writing.

If a swimmer arrives late, the lesson will still finish at the originally scheduled time. This helps lessons run smoothly for every family.

If Swim Jar is delayed due to unforeseen circumstances, lesson time will be adjusted where reasonably possible.

Parents & Guardians

The lesson begins when the instructor takes responsibility for the swimmer at the agreed meeting point and ends when the swimmer is returned to their parent, guardian or designated collection point.

Outside lesson time, children remain the responsibility of their parent or guardian.

Parents and guardians remain responsible for children in changing rooms and during arrival and departure from the venue.

A parent or guardian is required to remain on the pool premises throughout the lesson unless an alternative arrangement has been agreed in advance.

Payment

Payment is required in advance to secure lesson times and programme bookings.

Payment can be completed using the secure payment details or payment method provided at the time of booking or stated on the relevant invoice.

For overseas families and international payments, alternative payment arrangements, including Wise or PayPal, may be agreed in advance.

Where another person, company or representative arranges or pays for lessons on behalf of the swimmer, the person making the booking remains responsible for ensuring that the relevant booking and payment terms are understood.

Failure by a third party to make payment does not remove responsibility for any agreed and outstanding fees.

Swim Jar reserves the right to release lesson times where payment has not been received.

Cancellations & Rescheduling

Each lesson time is reserved specifically for your child.

If you need to cancel or reschedule a lesson, a minimum of 24 hours' notice must be provided in writing.

Where at least 24 hours' notice is given, the lesson may be rescheduled within the validity period of your child's original programme, subject to availability.

Providing notice does not extend the original validity period of a programme.

Cancellations made with less than 24 hours' notice, including non-attendance, will normally result in the lesson being treated as used, reflecting the lesson time reserved specifically for your child.

Any pool entry, travel or other third-party costs already incurred or which cannot reasonably be recovered may remain payable.

Cancellation and rescheduling requests must be made in writing by email or through the cancellation request form.

Nothing in these Terms & Conditions affects your statutory rights.

Programme Validity & Lesson Continuity

Children develop swimming skills through consistency, repetition and regular time in the water.

Swim Jar programmes are therefore structured around lesson frequency and continuity. Programme pricing reflects the chosen learning structure.

Once-a-Week Programmes

Four-session once-a-week programmes are intended to be completed within six weeks of the first lesson.

Lessons are normally attended weekly, with no more than two weeks between lessons.

Intensive Programmes

Four-session intensive programmes are designed around twice-weekly attendance and should be completed within three weeks of the first lesson.

The intensive programme rate reflects this concentrated lesson structure and continuity.

2:1 Semi-Private Programmes

Four-session 2:1 programmes are designed for two children with similar swimming ability and compatible learning needs.

Lessons must follow the frequency agreed at the time of booking and be completed within the relevant programme validity period.

A good lesson match matters. Swim Jar may recommend an alternative lesson arrangement where two swimmers are not considered suitably matched for learning, development or safety.

Crash Courses

Five-session crash courses are designed as five consecutive lessons and must be completed within the agreed scheduled course period.

The crash course structure is based on concentrated, consecutive learning and individual lessons cannot be spread across an extended period.

Unused Lessons, Extensions & Exceptions

Unused lessons remaining outside the relevant programme validity period will expire unless an extension has been agreed in writing by Swim Jar.

We understand that family life does not always run perfectly to plan. Any request for an extension, variation or exception will be considered individually and must be agreed in writing.

An extension, variation or exception does not alter Swim Jar's standard Terms & Conditions or create an entitlement to the same arrangement for future bookings.

Gift Vouchers

Gift vouchers are valid for 12 months from the date of purchase and must be redeemed within the stated validity period.

Gift vouchers may be redeemed against the lesson programme or monetary value stated on the voucher. They may not be used to alter programme pricing, validity periods or lesson continuity requirements.

Once a gift voucher is redeemed against a Swim Jar programme, the standard validity period and programme terms will apply from the date of the first lesson.

A gift voucher redeemed against a once-a-week programme, intensive programme, semi-private programme or crash course remains subject to the attendance and validity requirements of that programme.

Once redeemed, gift vouchers are non-refundable except where otherwise required by law.

Lessons are subject to coaching schedule and venue availability. Advance booking is recommended.

Health & Additional Needs

Every child deserves to be taught with appropriate understanding and care.

Parents or guardians are responsible for informing Swim Jar before lessons begin of any medical conditions, injuries, allergies or additional learning or support needs that may reasonably affect their child's participation or safety.

Please let us know if this information changes during your child's programme.

Pool Entry & Travel

Pool entry fees and travel costs may apply depending on the lesson location and venue arrangements.

Lessons take place across selected venues, private residences and residential pools throughout Central and West London.

Any additional costs will be communicated as part of the booking arrangements.

Photography & Privacy

Photography or video recording during lessons is not permitted without prior agreement.

Any photography or video arranged by Swim Jar will only take place with appropriate consent.

Personal information is handled in accordance with applicable privacy and safeguarding requirements.

Changes by Swim Jar

Occasionally, Swim Jar may need to cancel or materially change a confirmed lesson due to pool availability or circumstances outside our reasonable control.

Where this happens, you will be offered a rescheduled lesson or another appropriate arrangement.

A lesson cancelled by Swim Jar will not be treated as used and will not reduce your child's programme entitlement.

Updates to These Terms

Swim Jar may update these Terms & Conditions where reasonably necessary.

Relevant changes will be communicated to affected families. Changes will not retrospectively alter the terms of an existing paid booking unless agreed or required by law.

These Terms & Conditions are here to keep lesson arrangements clear, fair and consistent, allowing us to focus on what matters most: helping children become Water Ready.
